We offer a variety of equipment and services that are available for events. Please notify our office, either in your initial reservation request or during your setup planning communication, if you need any of the items listed below. Not all items may be available at all times - they are subject to availability and our reservation schedule. Please note that equipment listed below is not available for use outside of the University YMCA Student Center.
Please note that costs are published for UW Tacoma students and departments only. External groups will discuss pricing during the reservation process with UW Tacoma Conference Services.
Damage or theft of equipment is the responsibility of the client and will result in a charge to the reservation. We do not provide Apple/Mac adapters at this time.
Audio & Visual

Meeting Rooms (UWY 103, 103, 307): Via television monitor

Additional floor/stand speakers are available in UWY 303 & 304.

One computer with internet access is provided in every space. The computer is connected to the UW Tacoma network.
Note: We do not provide laptops for rent; however, registered student organizations can check-out a laptop from the Center for Student Involvement (UWY 107).

Only available in UWY 303 & 304. There are three types of microphones available: (1) podium, (2) wireless handheld and (3) wireless lapel. There are three wireless handheld microphones available in each half of the space. There is one wireless lapel and one podium microphone in each half of the room. Stands are available for the wireless handheld.
Note: When using the full Student Assembly (both 303 & 304), all ten (six handheld, two lapel, two podium) microphones are available for use.

Meeting Rooms (UWY 103, 103, 307): Wall-mounted television screen
Student Assembly (UWY 303 & 304): Ceiling-mounted data projectors (2 per half of room) and wall-mounted dropdown screens (2 per half of room). If using both UWY 303 and UWY 304, all four projectors are available. Independent inputs for each projector is possible.

UWY 303 and 304 have been equipped with mounted Webcams (mounted from the ceiling) with a variety of angles and perspectives to provide to virtual attendees to your in-person experience. Client should provide a Zoom link to any attendees interested in attending virtually. Our staff will assist in providing the best perspective possible. Virtual attendees can participate through chat or by speaking through the audio system in the room.

LED multi-color lights. Various light modes available. Inventory may be limited based on event schedule.

Only available in UWY 303 & 304. There are two types of podiums available: (1) Presentation podium w/ computer and A/V control and (2) a standard podium. Inventory may be limited based on event schedule.

Double sided. Holds 8.5" x 11" paper (includes 0.5" blank margin). Inventory may be limited based on event schedule.

Cost (UW Tacoma Departments): $25/panel
Available in 8' x 4' panels and 16" and 24" height. Includes, setup, teardown, skirting and up to two sets of stairs. Stairs are required for the 24" height. Dancing is not permitted on the stage. Inventory may be limited based on the event schedule.

- 6 Panels: 12' x 16' or 8' x 24'
- 4 Panels: 8' x 16'
- 3 Panels: 8' x 12'
- 2 Panels: 4' x 16' or 8' x 8'
- 1 Panel: 4' x 8'

Rounds: 6' diameter - Polished silver/black swirl top. Maximum of 9 chairs per table.
Rectangular: 30" x 72" - Grey top.
Note: We do not provide linens. Inventory may be limited based on event schedule.
Staffing
Cost: $65/hour - 2 hour minimum (Subject to change)
Officers are required for events when:
- Alcohol is being served
- Money is exchanging hands
- A building is closed
Officers are possibly required for events when:
- There will be more than 100 people
- The event is political in-nature
- There is fundraising occurring
- When VIPs are present
- Based upon the event history

Required for all events (no cost to client). Additional charges will be applied when reservation occurs outside of scheduled staff hours and/or building hours. Can also be requested (for a charge) to assist with check-in, ticket taking, etc. All training of expectations is the responsibility of the client.
Note: Events that occur outside of building hours in the University Y will be charged both UW Student Center Staff and YMCA staff costs.

UW Tacoma Media Services staff may be available to assist with events (i.e. advanced A/V setup, monitoring during events, filming, etc.). Costs are based on event type and are discussed during reservation process.
